Position Title: Administrative Assistant

Work Schedule/ Location: Fully onsite in San Francisco, CA

Hours: M-F 8:30 AM - 5:00 PM

Salary: $30 - $35/ hour

Temporary for 3 months

The Opportunity

The Administrative Assistant provides administrative and operational support to the Grants Management team, to help ensure efficient and accurate record keeping, compliance, database management, and meeting support. This role involves coordinating logistics, maintaining records, and offering technical support to applicants. The ideal candidate is detail-oriented, highly organized, and skilled in Microsoft Office and database systems, with strong communication and problem-solving skills. As a critical member of the PFS team, attendance in the San Francisco office is an essential function of this job.

Principal Responsibilities:

* Support grants managers with tasks related to compliance, generating grant documents, agreements, and payments;

* Accurately input grant information in database and other systems as directed;

* Support grants managers with compiling client materials (digital and paper);

* Manage office supplies for meetings (inventory and ordering);

* Maintain foundation files as requested;

* Update and maintain meeting schedules;

* Support coordination of meeting logistics for both on-site and off-site meetings, including renting space and catering services as needed, travel arrangements, testing meeting technology (i.e. Zoom, conference line etc.) and preparing meeting rooms;

* Maintain overall office appearance and functionality for in-person meetings;

* Participate in Grants management team meetings;

* Assist grants management staff as requested; and

* Other duties as assigned.
